Job Summary and Purpose: Job Summary and Purpose: This position is responsible for the administrative support to the Service Department. Champion a “Safety First” “Customer Focused” and a continuous improvement culture. The incumbent in this position requires inherent organizational skills, a self-starter and an effective communicator that will maintain consistent and clear interactions with all department staff, customers, vendors and management. Main Tasks/ Responsibilities: (Include but not limited to assisting with the following.) • Work safely at all times. Adhere to all VCES applicable safety policies. Comply with all company policies, procedures, standards & values. • Maintain consistent service reports as directed, focus on timely preparation of work orders to achieve closure objectives. The accurate summary of technician notes so complete narratives reflect the complaint, cause and correction. • Open and/or close internal and external work orders as directed in a timely manner. • Follow the approved service department administrative policies and procedures applicable to work order flow from opening to closure. • Contribute to the accurate filing and correspondence related to product updates, bulletins, and other materials, as assigned. • Assist with the coordination of work order completeness for internal and external customers, as directed. • Adhere to safety and health precautions as outlined within VCES publications. • Other duties as assigned. REQUIRED KNOWLEDGE & EXPERIENCE: • Must have at a minimum, a High School diploma or equivalent with 2-3 years of experience as an administrative or office assistant. • Bachelor’s degree or higher from an accredited college in business administration or a related field is highly desired. • 2-3 years of experience with word and data processing related to warranty, sales or vehicle repair or maintenance work orders is highly preferred. Additional Important Requirements: • Customer relations and phone etiquette skills. • Computer proficiency, especially Microsoft products like Excel, and Word is required. • Knowledge and proficiency with office equipment, dealer networks and Microsoft products (Knowledge in Quipware highly desirable). • Demonstrates professionalism and approaches others in a tactful and respectful manner. Accepts responsibility for own actions and follows through on commitments. • Works with integrity, treats people with respect, and inspires the trust of others. • Adapts to changes in the work environment and able to deal with the frequent changes, delays, and/or unexpected events. • Teamwork /Supportive environment – office setting. • Able to work planned overtime when required / approved. • Bilingual is plus – fluent with English, oral and writing skills. • Proficient Writing Skills. • Able to self-manage goals and assignments with minor direction. JOB SUMMARY: The parts manager is responsible for ensuring that our customers receive the very best in parts support and service. Champion a “Safety First”, “Customer Focused” and a continuous improvement culture. It includes day-to-day leading, developing and managing all positions within the department and for meeting parts sales, gross margin, parts administration and inventory goals. Reports to Branch Operations Manager. MAIN TASKS AND RESPONSIBILITIES (but not limited to): • Work safely at all times. Adhere to all VCES applicable safety policies. Comply with all company policies, procedures, standards, and values. • Management and monitoring of Parts Department processes to ensure internal and external customer satisfaction of parts sales growth and parts marketing. • Parts inventory management (receiving, warehousing, shipment, ordering, monitoring backorders) • Promotes and merchandises parts and accessories in conjunction with marketing programs to meet department profitability and goals. • Coordination of parts activity with Sales, Rental and Service departments • Maintains an accurate and effective parts inventory control system that includes a perpetual and/or annual physical inventory and proper counter procedures. • Identify ordered parts with long lead time and obtain through alternate suppliers within price guidelines. • Monitor all parts orders for full and timely shipment to customer. • Submits all parts warranty and return claims within the required time frame to receive maximum credit. • Provide alternatives for parts not in stock or not easily identifiable – interact with service department to provide viable alternatives. • Effectively engages department personnel by recommending training and preparing employee performance evaluations. • Branch Safety and Environmental compliance according to corporate guidelines. • Manages employee development activities and performance through coaching and performance evaluations. KNOWLEDGE AND EXPERIENCE: • High School diploma or equivalent. • BS/BA in business related field, preferred. • 7-10 years of experience in parts sales, marketing, product support, product management or related field. CRITICAL COMPETENCIES: • Strong manager with problem solving skills. • Strong communication and interpersonal skills. • Detailed problem solving and troubleshooting skills required. • Must be able to travel occasionally for training and or customer visits PHYSICAL REQUIREMENTS (E.G.
